Situated in Ho Chi Minh City, the new wholly-owned sales subsidiary of Ricoh Company Ltd, the leading global manufacturer of office automation equipment, aims at providing more timely support to customers and partners in Vietnam as well as stepping up the Company’s presence in Asia Pacific. The Company’s core businesses focus on multifunctional devices, fax machines, network system solutions, and related supplies and services. Ricoh Vietnam is looking for full time HR & Admin Intern with least 3 months duration.
Job decription
Receptionist
• Welcome clients, visitors, guests, etc.
• Handle all incoming calls and transfer to appropriate people, promptly take messages if the receiver is not available.
• Hand-delivery in-coming and out-going courier.
Administration
• Arrange the meeting room.
• Maintain and update contact details.
• Scan and file documents / contracts for proper traceability.
• Check and update the billing of Admin services: taxi, telephone, stationery, postage & courier.
• Make payment requests.
HR
• Update recruitment database.
• Support to arrange interviews: book rooms, consolidate feedback, and welcome candidates.
• Collect new joiner information, update employee database and file Employee documents.
• Support on-boarding process: coordinate with IT for system accounts, arrange seat.
• Support exit process: collect relevant documents, equipment, etc.
• Provide insurance card and guidelines.
• Support to organize team activities.
